Your personal sphere of influence: 

As an Organisational Assistant, you will work with the two Doctoral Schools VDS CoBeNe (Cognition, Behaviour, Neuroscience) and VDSEE (Ecology and Evolution). You will serve as a primary point of contact for prospective applicants, members, relevant service units of the University of Vienna, and external cooperation partners. The position requires maintaining an overview of the doctoral school programmes, the supervisors and doctoral candidates across different departments and faculties of the University of Vienna, as well as their research laboratories.

 Your future tasks: 

  • Participation in the administration of PhD call advertisements and selection/admission procedures

  • Ensuring effective information exchange between the Steering Committee, the non-academic management of VDS CoBeNe and VDSEE, Principal Investigators, and PhD candidates

  • Participation in the organisation of public lectures, workshops, symposia, retreats, and other events

  • Documentation of Doctoral School activities and continuous maintenance of the relevant data

  • Support in the monitoring of PhD candidates

  • Maintenance and administration of the Doctoral Schools’ web presence, as well as involvement in newsletter and social media activities



This is part of your personality: 

  • Several years of professional experience in office management (preferably in a scientific/university context)
  • Graduation from a general/vocational middle or higher school, or an apprenticeship including relevant practice in office management
  • Excellent MS Office skills (especially Excel and Power Point).
  • Experience in dealing with content management systems (e.g. Typo 3) & social media
  • Fluency in English (B2 level or higher), basic knowledge of German is an advantage 
  • Experience with SAP is an advantage
