Description of the workplace

The MoRe-Lab (Movement and Reality Lab) is an experimental health science research infrastructure at the Faculty of Medicine, Center for Research Infrastructure in Health and Sciences (CRI), Lund University. The lab measures human behaviour, function and performance across the lifespan in both controlled and real-world environments. The MoRe-Lab includes a complete a live-in instrumented home environment (Reality platform) and state-of-the-art human analysis environments (Movement platforms) with complete human motion capture, metabolic, neuromuscular, non-invasive neuroimaging and functional analysis capabilities.

The unit, led by Senior Lecturer Daniel Benoit supports a wide range of projects from academic researchers, students and external partners such as industry, community organisations and sports teams. The lab consists of a small, collaborative team with close exchange between scientific, technical and administrative expertise. As the administrator, you will be part of the operational core of the lab and work closely with the lab director, researchers and project partners.

The workplace is located on-site in Lund in a modern research environment where daily collaboration, openness and problem-solving are central. We work actively to maintain a positive inclusive work climate through good communication, structured processes and regular team meetings.

Work duties and areas of responsibility

As the administrator, you will have a central and varied role that combines administrative support, project coordination, communication and internal process management.

You will have responsibility for:

  1. Lab Operations and Resource Management
  • Handle and approve lab bookings in TimeEdit
  • Schedule and manage door access for infrastructure users via Integra
  • Oversee and maintain calendars, ensuring accurate tracking of lab activities, events and availability
  • Monitor inventory, order disposables, and ensure stock levels meet ongoing project needs
  1. Administrative and Communication Support
  • Manage written communication and documentation in Swedish, ensuring clarity and accuracy
  • Prepare meeting agendas, take detailed meeting notes and support follow-up actions from weekly and steering group meetings
  • Book rooms, coordinate logistics, send invitations and organise internal and external meetings and events
  • Maintain the lab’s shared email inbox and update content on the lab’s webpage
  • Assist with communications content generation and dissemination
  1. Financial Processes and Invoicing
  • Compile, extract and clean booking data for internal and external invoicing
  • Communicate with Principal Investigators (PIs) to confirm billing information and resolve discrepancies
  • Prepare and submit invoicing documentation to the finance administrator
  1. Project Coordination and User Support
  • Receive and process project applications, schedule introduction meetings and prepare relevant agreements and guidelines
  • Ensure that user agreements are properly distributed, signed and archived
  • Onboard new users by introducing MoRe-Lab routines, including booking procedures and operational processes
  • Track ongoing projects and plan or coordinate necessary follow-up activities
  1. Outreach and External Collaboration
  • Support outreach initiatives both within LU and externally, including partnerships with industry, community organisations and sports teams
  • Assist in planning, communicating and coordinating outreach-related events and activities
  1. Funding and Grant Support
  • Assist with funding applications, including tracking deadlines and supporting formatting, editing and translations
  • Help document and report received grants where needed


Qualifications

Requirements for employment are:

  • Experience of administrative work, preferably in a complex organization
  • Proficiency with Excel and spreadsheets; MS Office package
  • Comfortable working in an international work environment
  • Very strong ability to communicate in both Swedish and English in writing and speech


Great emphasis will be placed on personal suitability. The position requires you have the ability to work independently as well as collaboratively in a team-oriented setting. Furthermore, you will need good organizational skills and the ability to prioritize and structure several parallel tasks. The position also requires you to possess good digital skills and the ability to learn new systems.

Additional qualifications for the position are:

  • Experience of TimeEdit, Integra or similar booking and access control systems, and willingness to learn internal LU systems
  • Experience with research projects management
  • Experience of project coordination or project administration
  • Experience of invoicing processes or financial administration
  • Experience of work in a research environment or with research support
  • Interest in or experience of sport, movement science or medicine
  • Experience of web editing or managing social media channels


Further information

The employment is a part time (50%) fixed term employment for 12 months starting April 1st, 2026, or if otherwise agreed.

Due to the nature of the responsibilities, such as event organization, on rare occasions extended off-office hours may be requested, within the workweek hours.
